GASC Convention Attendees,
We are looking forward to seeing everyone at Rock Eagle in 3 weeks. Below you will find all of the information and forms needed for a smooth check-in/ arrival process.
Pre-Conference Add-On
As a reminder, all schools arriving prior to 2pm MUST be registered for Pre-Conference. Didn't add this when you registered? School transportation change your arrival time? Arriving earlier than originally planned? If so, please use this link to add on Pre-Conference (includes lunch and activities). https://form.jotform.com/260117117870149 Deadline to add is February 11. If you find your transportation changes after this date you will need to make sure to arrive at Rock Eagle having already eaten lunch as NO OUTSIDE FOOD is allowed in.
Delegate Changes
If you have a student who can no longer attend convention please email [email protected] with changes. Include the following information: the first and last name of the student no longer attending the new students first and last name, grade level, allergy and nutrition information, and preferred t-shirt size Same gender changes ONLY. Cabin assignments have already been made. The swapped delegate will most likely receive the t-shirt size that was on the original registration as shirts will have already been ordered.
Forms:
Below you find the required documents for convention and our recommendation for how to collect and prepare this information for convention. Student Behavior Agreement (1 copy signed by all delegates to be turned in at convention check-in) We ask that you share the wording of this document with all students and parents prior to having students sign-off. You are welcome to print a copy for each student, but in an effort to save paper we are only collecting the single form with all signatures. Media Opt Out (1 copy for any student opting out of media release to be turned in at convention check-in) We also ask that you share the wording of this document with parents so they are aware of the opt-out option. You only need to bring forms for students that are opting out. We will need your assistance in helping identify these students so they are not included in any social media posts of the weekend or video recaps. Advisor & Principal Agreement (1 copy to be turned in at convention check-in) Please carefully read the top portion of this document and check off each item prior to signing. Convention Health Form (2 copies for ALL participants--1 copy will be kept in the nametag of the participant and 1 copy will be with the school advisor) New this year we will not be collecting health forms, but will be requiring that every student AND advisor has a copy of the health form on them at all times. We will be providing each delegate with a separate nametag holder for this form. In addition, we are asking that the school advisor also keep a copy of these forms as a backup. In case of emergency, we want to be able to efficiently provide information to professionals providing care. We recommend that you print one copy of this form for all participants to complete and turn into you prior to departure. Then prior to leaving your school, make a copy of all completed forms. Upon arrival at convention and receiving name tags, you can return the original form to delegates to put in their nametags and keep the copies with you.
